Our Services offer you the ability to register and log in using your third-party social media account details (e.g., Facebook or X logins). Where you choose to do this, we will receive certain profile information about you from your social media provider. We will use the information we receive only for the purposes described in this Privacy Notice or that are otherwise disclosed to you on our Services. We do not control, and are not responsible for, other uses of your personal information by your third-party social media provider. Our servers are located in the European Union (EU). If you are accessing our Services from outside the EU, please be aware that your information may be transferred to, stored by, and processed by us and by third parties (see Section 3) in countries other than your own.

We retain personal data for as long as you maintain an active account. After account deletion, we typically keep data for up to six months for backup and dispute resolution purposes, unless a longer retention period is required by tax, accounting, or other laws.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information. If this is not possible (for example, because personal information is stored in backup archives), we will securely store your personal information and isolate it from any further processing until deletion is feasible.

We do not knowingly collect or solicit data from, or market to, children under 18 years of age, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to their use of the Services. If we learn that personal information from users under 18 has been collected, we will deactivate the account and delete such data from our records as promptly as possible. Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with investigations, enforce our legal terms, or comply with applicable legal requirements.
Most web browsers and some mobile operating systems and applications include a Do-Not-Track (DNT) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked. If a standard for online tracking is adopted that we must follow in the future, we will inform you in a revised version of this Privacy Notice.
We use third-party service providers to assist us in digitizing and extracting data from your receipts.
•.What Data Is Shared?
When you upload a photo or PDF of your receipt, the
image is transmitted to Azure Document Intelligence for
optical character recognition (OCR). The extracted text is
then returned to us for processing.
•.Why We Use It
We rely on Azure Document Intelligence to provide
accurate and efficient OCR so that we can transform your
receipts into structured data (e.g., item names, prices,
stores).
•.Legal Basis
We process and share this data under our legitimate
interest to provide and improve our Services, or for contract
performance if our Terms of Service specify that receipt
digitization is part of the contracted service.
•.Location and Safeguards
Your data may be transferred outside your country.
Where such transfers occur, we rely on appropriate safeguards
(such as Standard Contractual Clauses) to ensure compliance
with EU data protection law.
•.Data Protection Agreement
We have a Data Processing Agreement in place with
Microsoft to ensure that any personal information processed
via Azure Document Intelligence is handled in accordance with
the GDPR and other applicable privacy laws.
•.What Data Is Shared?
After the OCR phase, the extracted text may be
processed by OpenAI’s language models (e.g., for
categorization or item tagging).
•.Why We Use It
We use OpenAI’s AI-powered services to improve the
accuracy of expense categorization, offer better budget
insights, and continuously enhance our automated
features.
•.Legal Basis
Similar to the OCR process, we rely on our legitimate
interest or contract performance as the lawful basis for using
OpenAI’s services.
•.Location and Safeguards
Data may be transferred and stored on servers located
outside the EU/EEA. When that happens, we use approved
transfer mechanisms such as Standard Contractual Clauses to
protect your data.
•.Data Protection Agreement
We also maintain a Data Processing Agreement with
OpenAI to ensure GDPR-compliant handling of any personal data
transmitted during the analysis phase.
Please note that receipts can sometimes contain information that could reveal health data, religious affiliation, or other potentially sensitive details (e.g., a pharmacy purchase). While we do not actively request or intend to collect sensitive personal data, such data may be inadvertently processed by Azure Document Intelligence and OpenAI. We take the following measures to protect your information:
•.We use encrypted connections (HTTPS/TLS) when transmitting data to our third-party providers.
•.We limit the scope of data shared to what is strictly necessary for the OCR and categorization process.
•.We have contractual obligations (Data Processing Agreements) with these providers to ensure compliance with the GDPR and other applicable privacy laws.
If you have concerns about the handling of potentially sensitive data, we encourage you to redact or remove such information from the receipt images before uploading, where feasible. You can also contact us at privacy@octopodsystems.com for additional information on how we safeguard your data.
