We collect personal information that you voluntarily provide when you register on the Services, express an interest in obtaining information about us or our products, participate in activities on the Services, or otherwise contact us.

In Short: Some information—such as your Internet Protocol (IP) address and browser/device characteristics—is collected automatically when you visit our Services.

We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (e.g., name or contact information) but may include device and usage information such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, and information about how and when you use our Services. This information is primarily needed to maintain the security and operation of our Services and for internal analytics and reporting purposes.

We also permit certain third parties and service providers to use online tracking technologies on our Services for analytics and advertising, including to help manage and display advertisements, tailor ads to your interests, or send abandoned shopping cart reminders (depending on your communication preferences). These third parties use their technology to provide advertising about products and services tailored to your interests, which may appear on our Services or on other websites. Our Services offer you the ability to register and log in using your third-party social media account details (e.g., Facebook or X logins). We will use the information we receive only for the purposes described in this Privacy Notice or that are otherwise disclosed to you on our Services. We do not control, and are not responsible for, other uses of your personal information by your third-party social media provider. We recommend reviewing their privacy policies to understand how they collect, use, and share your personal information, and how you can set your privacy preferences on their platforms.

 

6. IS YOUR INFORMATION TRANSFERRED INTERNATIONALLY?

Our servers are located in the European Union (EU). If you are accessing our Services from outside the EU, please be aware that your information may be transferred to, stored by, and processed by us and by third parties (see Section 3) in countries other than your own.

If you are a resident of the European Economic Area (EEA), United Kingdom (UK), or Switzerland, please note that other countries may not have data protection laws as comprehensive as those in your country. However, we will take all necessary measures to protect your personal information in accordance with this Privacy Notice and applicable law.

 

7. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice, unless otherwise required by law.

We retain personal data for as long as you maintain an active account. After account deletion, we typically keep data for up to six months for backup and dispute resolution purposes, unless a longer retention period is required by tax, accounting, or other laws.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information. If this is not possible (for example, because personal information is stored in backup archives), we will securely store your personal information and isolate it from any further processing until deletion is feasible.

 

8. DO WE COLLECT INFORMATION FROM MINORS?

In Short: We do not knowingly collect data from or market to children under 18 years of age.

We do not knowingly collect or solicit data from, or market to, children under 18 years of age, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to their use of the Services. If we learn that personal information from users under 18 has been collected, we will deactivate the account and delete such data from our records as promptly as possible. 9. WHAT ARE YOUR PRIVACY RIGHTS?

In Short: You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.

If we rely on your consent to process your personal information, you have the right to withdraw your consent at any time. To do so, contact us using the details in Section 13. Withdrawing consent does not affect the lawfulness of processing carried out before the withdrawal.

Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with investigations, enforce our legal terms, or comply with applicable legal requirements.

 

10. CONTROLS FOR DO-NOT-TRACK FEATURES

Most web browsers and some mobile operating systems and applications include a Do-Not-Track (DNT) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked. If a standard for online tracking is adopted that we must follow in the future, we will inform you in a revised version of this Privacy Notice.

Please note that receipts can sometimes contain information that could reveal health data, religious affiliation, or other potentially sensitive details (e.g., a pharmacy purchase). While we do not actively request or intend to collect sensitive personal data, such data may be inadvertently processed by Azure Document Intelligence and OpenAI. We take the following measures to protect your information:

If you have concerns about the handling of potentially sensitive data, we encourage you to redact or remove such information from the receipt images before uploading, where feasible. You can also contact us at privacy@octopodsystems.com for additional information on how we safeguard your data.

 

12. DO WE MAKE UPDATES TO THIS NOTICE?

In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.

We may update this Privacy Notice from time to time. The updated version will be indicated by an updated “Last updated” date at the top of this Privacy Notice. If we make material changes, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this Privacy Notice frequently to remain informed about how we are protecting your information.
